Turn PDFs into Interactive Tours: Generate Steps with Beacon's AI

Tired of manually translating SOPs into training? Upload any PDF or text document to Beacon and let our AI draft interactive tour steps automatically. Here's how to streamline your onboarding and staff training.

Engineering Team·

If you’ve ever had to onboard a new hire to a complex system like Salesforce, or roll out a new internal policy buried in a 30-page PDF, you know the drill. Hours of translating static text into actionable, step-by-step guidance. It’s tedious, prone to error, and frankly, a significant drain on your team's time. What if I told you that you could slash that translation time from hours to minutes, by simply uploading your document?

This isn't just about saving time, though that's a big part of it. It’s about consistency. Every team member gets the same, clear guidance, directly derived from your source of truth. For compliance, that’s golden: your training directly mirrors your official procedures, providing immutable audit evidence for ISO 27001 or SOC 2. And for us engineers and product folks, it means less time in documentation hell, more time building features or refining processes that actually move the needle.

Beacon’s AI-powered tour generation capability takes your existing knowledge base – be it SOPs, policy documents, or even a simple text guide – and transforms it into a draft of interactive tour steps. Let's walk through how to put this to work.

Step 1: Upload Your Document to Beacon

First things first: get your source material into Beacon. Head over to the 'Documents' section in your Beacon dashboard. You'll find an 'Upload Document' option there. We support both PDF and plain text files. While you can upload a very long, dense PDF, I've found that shorter, more focused documents (like a single SOP for a specific task) tend to yield the most immediately actionable drafts.

Think of this as feeding the AI. The clearer and more structured your input, the better the output will be. For example, a PDF with clear headings, bullet points, and numbered steps explaining a workflow will give the AI a strong framework to work from, resulting in a more coherent initial set of tour steps. A common mistake I see is people uploading sprawling, unstructured manuals, which the AI can still parse, but it might take more human effort to refine later.

Once uploaded, Beacon’s AI gets to work, processing the document's content. This usually takes just a few moments, depending on the document's length and complexity.

Step 2: Generate Tour Steps from the Document

After your document is processed, you'll see it listed in your 'Documents' section. Select the document, and you'll typically find an option to 'Generate Tour Steps' or 'Create Tour from Document'. Clicking this will prompt the AI to analyze the document for actionable instructions, common user interactions, and informational points.

The AI scans for patterns that indicate steps in a process: verbs like 'click', 'enter', 'navigate', 'select', 'fill', and even implied actions from descriptive sentences. It then attempts to translate these into appropriate Beacon step types. For instance, if your document says "Click the 'Submit' button," the AI will likely propose a clickwait step. If it describes data entry, an autofill step might appear.

Step 3: Review and Refine the Draft Steps

This is where your human expertise truly shines. The AI provides a powerful starting point, but it's not a mind reader. It can't magically know the precise CSS selector for the 'Approve' button on your legacy ERP system. It doesn't know the exact URL of the next page unless it's explicitly stated in your document.

Beacon will present you with a new draft tour, pre-populated with the AI-generated steps. Each step will have a title and body content derived directly from your document. Your job is to:

  1. Verify Content: Read through each step's title and body. Do they accurately reflect the intent from the original document? Adjust wording for clarity, conciseness, or to match your brand voice.
  2. Add Selectors (Crucial!): For tooltip, spotlight, clickwait, and autofill steps, you'll need to use the Beacon Chrome Extension to select the specific elements on your live application that these steps should target. The AI can tell you what to click, but you tell Beacon where that element is.
  3. Refine Step Types: The AI makes its best guess, but you might want to change a tooltip to a spotlight for more emphasis, or convert a basic text step into a video step if you have a relevant clip. You might also add navigate steps to guide users between different pages.
  4. Order and Logic: Ensure the steps flow logically and cover the entire process. Reorder, add, or delete steps as needed. Don't be afraid to combine short, redundant steps or split a complex one into multiple, clearer steps.

This human-in-the-loop approach is vital. The AI frees you from the mundane transcription, letting you focus your expertise where it truly matters: making the tour robust, accurate, and user-friendly on the live application. Don't expect a perfect, deployable tour on first pass; expect a fantastic first draft that accelerates your workflow by 80%, allowing you to invest your time in precision.

Step 4: Publish and Deploy Your Tour

Once you’re satisfied with your refined tour, you can publish it. Whether you're deploying it via the Beacon SDK into your own product, or using the Beacon Chrome Extension to overlay it on a third-party tool like SAP or HubSpot, these AI-generated steps form the backbone of effective guidance.

For internal staff training, you can assign these tours to specific team members or groups, track completion, and generate immutable compliance reports. For customer onboarding, embed them directly into your product to guide new users through their first success.
